1. Who We Are

This Privacy Policy applies to the mobile application SumBot ("App") and describes how we collect, use, store, and protect your information when you use our service.

2. What Data We Collect

2.1 Audio recordings When you use the Record feature, the App records audio through your device's microphone. Recordings are stored locally on your device and, if you choose to generate a summary, are processed to produce text output.

2.2 Content you create Meeting and lecture names, summaries, notes, and task lists generated within the App.

2.3 Usage data Basic analytics data such as app opens, features used, and session duration. This data is collected in aggregate and cannot be used to identify you personally.

2.4 Device information Operating system version, device model, and app version — used solely for debugging and improving app performance.

We do not collect your name, email address, or any account information unless you explicitly provide it.

3. Microphone Access

The App requires microphone access solely to record audio when you initiate a recording. We do not access your microphone at any other time — in the background, passively, or without your explicit action.

You can revoke microphone permission at any time in your device Settings. Without it, the recording feature will not function.

4. How We Use Your Data

We use the data described above to:

• Generate AI-powered summaries and task lists from your recordings
• Store your notes and recordings for retrieval within the App
• Improve the performance and reliability of the App
• Respond to support requests if you contact us

We do not use your recordings or notes to train AI models without your explicit consent.

We do not sell your data to any third party. Ever.

5. AI Processing

When you tap "Generate Summary," your audio recording is processed to produce a text transcript and structured summary. This processing may occur on-device or via a secure third-party AI service (see Section 6).

Audio sent for processing is:

• Transmitted over an encrypted connection (TLS)
• Used solely to generate your summary
• Not stored by the AI provider beyond the time required to complete processing

6. Third-Party Services

The App may use the following third-party services:
We only share the minimum data necessary for each service to function. We do not share your data with advertisers or data brokers.

7. Data Storage and Security

Local storage Recordings and summaries are stored on your device by default. You control this data entirely — deleting the App removes all locally stored data.

Security We implement industry-standard measures including encryption in transit (TLS) and encryption at rest where applicable. No method of transmission or storage is 100% secure, but we take your data protection seriously.

8. Data Retention

We retain your data only as long as necessary to provide the service. If you delete a recording or summary within the App, it is permanently removed from your device. If you delete the App, all locally stored data is erased.

If any data is stored on our servers, you may request its deletion at any time by contacting us at ura@botcom.fi.

9. Your Rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Delete your data at any time
• Correct inaccurate data
• Withdraw consent for data processing at any time
• Data portability — receive a copy of your data in a machine-readable format

To exercise any of these rights, contact us at ura@botcom.fi. We will respond within 30 days.

California residents (CCPA): You have the right to know what personal information we collect and to request deletion. We do not sell personal information.

EU/UK residents (GDPR): Our legal basis for processing your data is your consent, which you provide by using the App. You may withdraw consent at any time.

10. Children's Privacy

SumBot is not intended for use by children under the age of 13 (or 16 in the EU). We do not knowingly collect any data from children. If you believe your child has used this App, please contact us at ura@botcom.fi and we will ensure any associated data is promptly removed from our systems.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you via an in-app notice or update the "Last updated" date at the top of this document. Continued use of the App after changes constitutes acceptance of the updated policy.
